Bookings, memberships, and field operations for hospitality and service businesses: built around the way front-of-house actually works.

How we approach it

Hospitality & Services at Nowgray

Hospitality and service-business software covers the systems that sit between a customer and the person delivering the service: bookings and availability, memberships and renewals, job scheduling and dispatch, billing, and the reporting an owner needs across sites. The common thread is that the front line is busy and often not at a desk, so anything slow or fiddly simply does not get used.

Availability is the technically interesting part. Rooms, trainers, tables and engineers are all constrained resources with overlapping rules, and the cost of getting it wrong is a double booking in front of a customer. Real availability logic has to account for buffers, maintenance windows, staff shifts and channel sync, which is why booking features bolted onto a generic CRM tend to fail in the second month.

Memberships fail differently. They fail quietly, at renewal. A gym or club with no automated renewal cycle loses members who simply drifted, and nobody notices until the monthly count drops. Renewal reminders, dunning for failed payments and a visible lapse report are worth more than any additional booking feature.

Field service adds the constraint of people who are not at a computer. Job assignment, proof of visit, parts used and payment collection all have to work on a phone, frequently on poor connectivity, which means offline-tolerant design rather than a mobile-shaped web page.

What usually brings people here

Double bookings across channels

Walk-ins, phone bookings and online travel agents update different places, so inventory disagrees and someone is turned away at the counter.

Memberships lapsing unnoticed

With no renewal cycle or dunning, attrition shows up in the monthly count long after the member stopped coming.

Field jobs tracked over phone calls

Dispatch by WhatsApp and calls means no reliable record of who attended, when, what was used, or whether payment was collected.

Owner has no cross-site view

Each property or branch reports separately and in its own format, so comparison is manual.

What we build

  • Booking and availability engines with buffers, shifts and blackout rules
  • Channel sync so online and offline inventory stay consistent
  • Membership plans with renewals, dunning and lapse reporting
  • Job scheduling and dispatch with mobile apps for field staff
  • Proof of service capture: photos, signatures, parts and time on site
  • Billing and payment collection, including on-site collection
  • Cross-site reporting for owners and area managers

FAQ

Common questions.

Can it sync with online travel agents or aggregators?
Yes, where the platform exposes an API or channel-manager integration. Inventory and rates stay consistent across your own booking page and connected channels. Which platforms are practical depends on the ones you use, so we confirm that during scoping rather than promising blanket coverage.
Do field staff need constant connectivity?
No. The mobile app is built to tolerate poor networks. Jobs, proof of visit and collections are captured locally and sync when a connection returns, because assuming reliable data in the field is how these systems fail in practice.
We run several properties. Can rules differ per site?
Yes. Pricing, availability rules, staff and permissions are configured per site, with consolidated reporting for the group. Central defaults with local overrides is the usual arrangement.
Is this a product or a custom build?
Either. Where your operation is close to standard we will point you at an existing product, ours or someone else's, because it is cheaper and faster. Custom is worth it when availability rules, pricing or service workflow are specific enough that configuration cannot express them.
